Booking and deposit
A booking is confirmed once we have received your signed acknowledgement of this agreement and a 20% non-refundable deposit by bank transfer, credit card, or other agreed method. The balance is due thirty days before the agreed departure date. Late balance payment may, at our discretion, result in cancellation without refund of the deposit.
What the price includes
Unless stated otherwise in your booking confirmation, the package price covers: licensed Sherpa guide and porters as specified, all teahouse accommodation on the trek, all meals on the trail, all required permits (TIMS, ACAP, Sagarmatha or relevant national park fees), domestic flights or ground transfers as listed in the itinerary, and basic first-aid kit. International flights, visa fees, travel insurance, personal trekking gear, alcoholic and bottled drinks, tips for guide and porters, and any expenses arising from itinerary changes you request are not included.
Cancellation by you
Cancellations must be sent in writing to hello@nepalitrekking.com. Refunds are calculated as follows: more than sixty days before departure — full refund minus deposit; thirty to sixty days before — fifty percent refund; less than thirty days before — no refund. Where possible we will help reschedule your trek for a future date instead, with deposit credited.
Cancellation by us
In rare circumstances — natural disaster, political unrest, prolonged severe weather, or insufficient group size for fixed-date departures — we may cancel a trek. In that case, you will receive a full refund of all payments made to us, or the option to reschedule. Our liability is limited to the amount paid for the trek; we are not liable for non-refundable third-party costs such as international flights.
Insurance
Travel insurance covering high-altitude trekking, emergency medical care, and helicopter evacuation up to your trek's maximum altitude is mandatory. You must provide your policy details before departure. Trekking without adequate insurance is not permitted on our treks.
Safety, fitness, and your responsibilities
Trekking in Nepal involves inherent risks: altitude sickness, weather, terrain, and remote locations. You confirm that you have honestly disclosed any medical conditions, that your fitness level is appropriate for the route you have booked, and that you will follow your guide's decisions on safety, pace, and acclimatisation. Your guide has final authority to alter or abandon any part of the itinerary in the interest of safety. No refund is owed for changes made for safety reasons.
Itinerary changes
Mountain conditions evolve. We may adjust route, accommodation, or daily schedule in response to weather, trail closures, illness, or other operational realities. We will explain any change as it happens and make every effort to preserve the spirit and quality of your trek.
Conduct and respect
Trekking is a privilege extended by the communities whose mountains and villages we pass through. You agree to respect local customs and religious sites, to leave no trace, to treat porters and teahouse staff with dignity, and to refrain from behaviour that endangers your group or other trekkers. We reserve the right to remove from the trek any participant whose conduct seriously compromises safety, group experience, or local hospitality, with no refund.
Governing law
This agreement is governed by the laws of Nepal. Any disputes that cannot be resolved through good-faith conversation will be subject to the jurisdiction of the courts of Kathmandu.
